Quote to agreement in 48 hours: the follow-up strategy that hits 80% conversion
You had a good conversation. You put together the quote. You sent it. And then... silence. After three days you send another email: "Did you receive the quote?" More silence.
This is the pattern at 70% of landscapers. And it's entirely preventable.
Why quotes go cold
A quote without follow-up is a question without expectation of an answer. The client received it, but life goes on. Other priorities come up. The quote sinks to the bottom of the inbox.
That's not disinterest. That's human behaviour. You're the only one who feels the urgency — the client doesn't, unless you create it.
The 3-message system
The follow-up strategy that consistently hits 80% conversion consists of three messages at three moments.
Message 1 — immediately after sending the quote (WhatsApp): "Hey [name], I just sent the quote. Happy to walk through it quickly by phone if you have questions — then we can also see if we can start the project on [start date]. Does [day] or [day] work for you?"
Message 2 — 24 hours later (if no response): "Quick follow-up: I'm holding [start date] provisionally for you. Let me know if you have any questions and I'll call you back quickly."
Message 3 — 48 hours later: "Hey [name], want to chat through the quote? Completely fine if it's not the right time. Feel free to message me when you're ready."
Why this works
Three things make this system effective. One: you send via WhatsApp, not email. WhatsApp has a 98% open rate. Email averages 22%.
Two: you create urgency with the start date. "I'm holding [date]" is a soft deadline that prompts action without pressure.
Three: message 3 gives the client an out. "Completely fine if it's not the right time" lowers the barrier to respond. A response — even negative — is more valuable than silence.
